Accounting Administrative Assistant

Under the direct supervision of the Accounting Director, provides administrative support to 4 Directors, 1 Sr. Manager and accounting department. Works with highly confidential information, must be a self-starter, dependable, disciplined employee who can multi-task and be a team player.
• Calendar management for 4 directors, 1 Sr. Manager
• Sensitivity to confidential matters
• Project coordination
• Maintain event/outing budget and expense tracking
• Expense reports for 4 directors, 1 Sr. Manager
• Coordinate and manage travel arrangements and prepare detailed itineraries
• Coordinate meetings
• Process narrative maintenance
• Collaborate with administrative assistant to VP of Accounting on departmental coordination of outing/gatherings, and volunteer efforts ranging in size from 8-200+
• Managing processes which include:
o Mail distribution, as needed
o A/R back up
o DMAX indexing (w/accounts payable), as needed
o File room organization
o Monthly vendor statement clean up, as needed
• General office equipment maintenance and coordination
• Establish and maintain positive working relationships with other departments
• Works closely with the admin assistant to VP of accounting supporting the accounting department
• Perform related duties as assigned

Education: Associates Degree preferred, experience may substitute for education

Experience: 2 years administrative assistance experience

Computer Skills: Intermediate to advance knowledge of Outlook, Word, Excel, Powerpoint, AX, Concur Travel & Expense
